Requirements for sample shipping

Sample preparation

  • Ensure all samples are properly sealed and labeled with clear identification (e.g., sample ID and date).

Packaging requirements

  • Primary container: leak-proof, labeled container (e.g., tubes, vials, or specimen bags).

  • Secondary container: second leak-proof, impact-resistant container (e.g., biohazard bag with absorbent material).

  • Outer packaging: rigid, protective outer box or container to prevent damage during transit.

Temperature control

  • Ambient samples (room temperature, 15–25°C): no special temperature controls needed.

  • Refrigerated samples (2–8°C): use cold packs to maintain temperature.

  • Frozen samples (-20°C to -80°C): use dry ice.

Documentation requirements

  • Sample manifest: list of all samples, including sample IDs, description, and quantity. Find template here.

  • Import/Export permits (for international shipments, if required).

  • Customs declaration form (if shipping internationally).

Labelling

  • Clearly mark the package with any required hazard labels (e.g., UN 3373 "Biological Substance, Category B"). Label template here.

  • If using dry ice, label with UN 1845 "Dry Ice" and indicate the weight of dry ice used. Label template here.
